What information we collect

We only ask for the information we need to quote for and carry out air conditioning work. That means:

• Contact details you give us: your name, telephone number, email address and the address or postcode of the property.
• Enquiry details: the property type, the rooms you want cooled or heated, timeframe, any existing system and any notes you add.
• Photographs you choose to upload of rooms, walls, meter positions or existing equipment.
• Correspondence: emails, WhatsApp messages, text messages and notes of telephone calls relating to your enquiry or installation.
• Job records: survey notes, quotations, invoices, equipment models and serial numbers, commissioning data and F-Gas records.
• Technical website data: your IP address, browser type and pages visited, used to keep the site secure and working.
• Analytics data, but only if you accept optional cookies. See our Cookie Policy.

Why we use it and our lawful basis

• To respond to your enquiry, arrange a survey and prepare a quotation — our legitimate interests in dealing with a request you have made to us.
• To carry out installation, servicing or repair work and to invoice you — performance of our contract with you.
• To keep statutory records, including F-Gas records, VAT records and accounting records — compliance with our legal obligations.
• To handle warranty claims, complaints or insurance matters — our legitimate interests and, where relevant, our legal obligations.
• To measure how the website is used and improve it — your consent, given through the cookie banner.

How your photographs and enquiry details are stored

Enquiries submitted through this website are saved to a private, access-controlled database and emailed to our office inbox so the team can act on them. Photographs you upload are stored in private cloud storage: they are not published, not indexed by search engines and not accessible from a public link. Where our office team needs to view an uploaded photograph, the link used is time-limited.

We will never publish photographs of your property, or use them in marketing or on social media, without asking you first and getting your agreement.

Who we share it with

We do not sell your personal information and we do not share it for anyone else's marketing. We share it only where it is necessary to do the job or to meet a legal duty:

• Our IT, email, hosting and cloud storage providers, who process data on our instructions under written terms.
• Sub-contract engineers or electricians working with us on your job, where an installation requires them.
• Manufacturers or suppliers, where a warranty registration or a parts claim requires it.
• Our accountants, insurers and professional advisers where necessary.
• Regulators, HMRC, or law enforcement where we are legally required to disclose information.

How long we keep it

• Enquiries that do not proceed: kept for up to 24 months, then deleted, so we can pick up a conversation if you come back to us.
• Uploaded photographs for enquiries that do not proceed: deleted with the enquiry record.
• Customer and job records, invoices and VAT records: kept for a minimum of six years plus the current financial year, as required for tax purposes.
• F-Gas and commissioning records: kept for the period required by the relevant regulations.
• Analytics data: kept only for as long as needed to report on website performance, and only where consent was given.

Your rights

Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete information we no longer need, to object to or restrict certain processing, and to withdraw consent for optional cookies at any time.

Marketing

We do not run mass marketing campaigns. If we contact you after a quotation it will be a follow-up about that specific enquiry, and you can tell us to stop at any time and we will record that preference.

Security

This website is served over HTTPS. Enquiry data is held in an access-controlled database, and uploaded files are held in private storage that is not publicly readable. Access is limited to the people in the business who need it to do their job. No system can be guaranteed perfectly secure, but we take reasonable technical and organisational measures to protect your information.

Children

This website is aimed at homeowners, landlords and businesses. We do not knowingly collect information about children. If you believe a child has sent us personal information, contact us and we will delete it.
